Booking & payments

How does booking work?

You send an inquiry through the website and we get in touch to settle the details: dates, number of guests, room and insurance. Once everything is agreed, we prepare the contract. The booking is confirmed after the contract is signed and the first instalment is paid.

How much is the first instalment and when do I pay the rest?

The first instalment is up to 30% of the trip value; the exact amount and due date are in your contract. The balance is due no later than 30 days before departure.

What payment methods do you accept?

Bank transfer. We issue a VAT invoice on request - just mention it when booking.

Can I transfer my booking to someone else?

Yes. Just let us know no later than 7 days before departure. We only charge the actual costs of the change.

Prices & what's included

What does the trip price include?

Accommodation, meals as described with each offer, the care of a Polish-speaking resident, activities for children, basic travel insurance and children's ski lessons where they are part of the programme.

What is not included in the price?

Travel to the resort, the ski pass, the tourist tax paid at the hotel and any insurance upgrades. We show all of it openly at booking so you can see the full cost straight away.

Is the ski pass included?

The ski pass is not included in the trip price,. You buy it on site - we help you get it with a group discount, paid locally. The same model applies on all our trips.

What is the tourist tax?

A local tourist tax collected by the municipality, paid at the hotel for each night. In the Alps it is usually a few euros per person, most often excluding the youngest children. We state the exact rate with each offer.

Kids & ski school

From what age can children ski?

We teach from the age of 3, in small ski-kindergarten groups. Whether a three-year-old is ready for group lessons is decided by the instructor on day one, looking at the child rather than the date on the paperwork. If the instructor decides your little one isn't ready yet, we refund the ski school fee in line with the Ski School Rules. Older children are placed in groups matched to their ability.

Are ski lessons compulsory?

On our trips to Italy, lessons are part of the programme for children aged 3 to 15 and are included in the price. That is deliberate: children make real progress in a stable group with one instructor, and parents get a predictable rhythm to the day and time to ski themselves. If your child already skis independently, tell us when booking and we will reflect it in the quote.

How are the groups put together?

You state your child's level on the Information Form, which we send by e-mail after booking, and the instructors verify it on the slope on day one. Ability is the main criterion and age comes second, because a child learns best among peers at a similar level.

How many children per instructor?

Ski-kindergarten groups (ages 3–6) have up to 6 children and are led by an instructor assisted by an activity leader. Older groups (ages 7–15) have up to 8 children, with one instructor per group. We stick to these limits because when learning to ski, every extra pair of eyes counts.

Do I need to register a child who won't be skiing?

Yes - we register every child, including infants. That way they are covered by insurance and the hotel prepares a cot or extra bed instead of adding unexpected charges on arrival.

What do the children do after skiing?

Every day we run an hour of activities in Polish, where children play and meet peers from other families while parents get a moment to themselves. The hotels we choose also have their own kids' areas: playrooms, pools, playgrounds. We pick them deliberately, because a good family trip is one where the children have something to do in the afternoon.

Trip & logistics

How do we get there?

You arrange your own travel, which gives you freedom over the route, timing and how much kit you bring. We're happy to suggest the most convenient options for your chosen region.

Can you arrange an airport transfer?

Yes - if you're flying or taking the train, we can arrange a transfer from the airport or station to the hotel as a paid extra. Tell us at booking where and when you plan to arrive and we'll prepare a quote.

Will I get information before departure?

Yes. We send a departure briefing with the hotel address, check-in times, the ski school schedule for day one, the resident's contact details and a packing list. For parents taking a child skiing for the first time we have a separate, more detailed version of the list.

Is anyone from QC Travel on site?

Yes - and that's one of the reasons QC Travel exists. There is a Polish-speaking resident on site you can turn to with anything, from a question about the ski pass to a situation where something doesn't go to plan.

Do I need my own equipment?

Yes - skis or a board, boots and a helmet are down to you. A helmet is compulsory in all ski school sessions, and in Italy it is also required by the rules of the slopes.

Insurance & safety

Is insurance included?

Yes - every participant is covered by basic SIGNAL IDUNA insurance: medical expenses up to EUR 80,000, personal accident up to PLN 30,000, third-party liability up to EUR 100,000 and baggage, extended to cover skiing and snowboarding.

Is it worth upgrading the insurance?

The basic variant is a good starting point, but after a more serious mountain accident the costs can exceed its limits, and chronic conditions need separate cover. That's why we show the extended variant at booking.

What if something comes up and we can't travel?

Life is unpredictable, so at booking we offer cancellation insurance in two variants, one of them extended to cover chronic conditions. It lets you plan calmly, knowing that sudden illness in the family doesn't mean losing the money you've paid. One important detail: it must be purchased within 14 days of signing the contract, so it's a decision to make at the start.

What if the snow conditions are poor?

We choose resorts with extensive snowmaking and a proven record for the specific dates, which is why we stay in the Dolomites and the Austrian Alps. Nobody can guarantee the weather, but the resident and the instructors plan each day around the current conditions.

About QC Travel

Is QC Travel a licensed tour operator?

Yes. QC Travel Sp. z o.o. is entered in the register of tour operators of the Marshal of the Mazowieckie Voivodeship under number 3098 and in the Central Register of Tour Operators under number 43627. We hold a SIGNAL IDUNA insurance guarantee and pay contributions to the Polish Tourist Guarantee Fund (TFG) and Tourist Assistance Fund (TFP).

What does that mean in practice?

That your money is protected independently of us. If QC Travel were unable to run a trip, the guarantee covers the refund of payments and participants' return home.
